Which aspects have to be considered regarding the budget and what exactly is part of the work time?

Keep a record of your work time whenever you are working on a task for the customer and stop the recording at least once a day. Proceed as follows if you run out of time:

  • Contact the customer at an early stage if you become aware that the given budget is not enough and do not wait until there is no budget left.
  • If you need more budget, explain why or what you need the additional budget for. Describe it in a way that is understandable for the customer.
  • If you do end up with a budget overrun, it is more likely because you worked longer than the budget was available. Make this also understandable for the customer (e.g. by picking up the last 5 minutes to hand over the task).

In any case, always communicate transparently with the customer about what is being done in the time he has made available or what is still planned. This creates trust in the cooperation. In addition to the actual processing, work time also includes  

  • becoming acquainted with the task,
  • discussing a task,
  • communicating  with the customer regarding the task as well as
  • summarizing of the results and hand them over to the customer.

Always state in the work log exactly what you have done in the time recorded. This is the only way the customer can track the work time spent. For a transparent work log, it is therefore important that you stop the time recording at least once a day for each task and do not just pause!
