Which are the areas of work/specialist areas and what do I need to pay attention to in each case?

We offer our customers support in various areas of expertise: Back Office, Administration, Marketing, Project Assistance, Sales, Design and Executive Assistance. You must determine the scope of work for a task during the task review process before you can accept the task. If you are unsure about the scope of a task, please contact me. I will be happy to give you an assessment.

There are different hourly rates for the different areas of expertise, so a correct classification is very important and will affect your fee.

1.Back office & administration

The majority of our tasks belong to the back office and secretarial areas, here all tasks are charged with the simple hourly factor. Competencies are for example: Research, document creation, transcription, proofreading, etc.
Exceptions in the back office & secretarial area: Various office services and translations are treated as specialist tasks and must be approved by the Operations team before being processed.

2. Marketing

Marketing includes skills such as social media management, creative text creation, and online advertising, among others. Here the hourly rate 1.3 is applied for the customer, for you the hourly rate 1.2. Which means:

  • If a customer posts a task of 4 hours, you have approx. 3 hours of real work time (you can see this under key data in the task).
  • The customer is usually not aware of this and does not know that you have less work time available.
  • Therefore, please send your customer the following message in the task chat for each new task and change the budget accordingly in the key data of the task:

Dear xx, thank you for the new task. This task falls in the area of marketing. In marketing, the factor 1.3 applies. Thus, x:xx hours will be deducted from your time account, so that x:xx hours of real work time are available to me, which you have specified. Under “Key data”, you will find all important information. Regards

In the task chat and the key data, you can see what time the customer has made available for you. Convert it so that this time also appears under “real work time” (key data).
To do the math: 3 hours effective working time = 180 (minutes) x1.3 (marketing hourly rate) = 234 minutes or 3:55 hours of budget.

In addition, it is important to consider the following:

a) is it a VPA activity? Means: can the customer train you; give you guidelines; does he/she have an idea of the implementation him/herself? Then you can accept the task.

Or (b) is it not a VPA activity? Means: the customer can’t train you; it’s very complex; he/she wants to be advised; expert knowledge is necessary – get in touch with me about this task.

3. Project assistance & sales

Tasks in the areas of project assistance and sales are charged at an hourly rate of 1.8 for the customer and 1.5 for you. Competencies are e.g. telesales, callback or sales setup.

Tasks in these areas are so-called specialist tasks and must be approved by the Operations team before being processed. Therefore, please forward these tasks to the specialist for review and let them know if you can handle the task yourself. The customer will then be informed about the specifics in these work areas and you will get the task back for processing.

 

4. Design & executive assistance

Design and executive tasks are also specialist tasks. For customers, the hourly rate is 2.0; for you, the hourly rate is 1.8. Design skills include logo design, website creation, or image editing.

Design/EVPA tasks must also be referred to the specialist for review. Once all specifics are cleared with the customer, you will get the task back and can accept it as usual.
