How does the Owncloud work?

Always save digital data you receive from or create for your clients directly into the corresponding folders of the task in the ownCloud in your explorer/finder using the ownCloud Desktop Client and always upload intermediate results additionally to the task chat. Does the customer want the results to be sent e.g. by email? Then do that in addition, but always first upload them into the ownCloud and the task chat.

This way the data is where it belongs, namely with the customer (keyword DSGVO) and it is guaranteed that you always have access to it.
